Creating class types

CrossFit, Pilates, Yoga, Zumba or Judo you can create any type of class!

Classes are different to appointments in that typically you can add multiple people to a class. They are also more likely be scheduled in a reoccurring or repeating timetable.

A class type is the specific kind of classes your business offers. For example a Yoga studio might offer three different class types:

  • Yin Yoga

  • Vinyasa Yoga

  • Hatha Yoga

Each class type can have its own unique settings such as colour on the calendar, communication settings and booking options.

To create a class type on the main menu go to Settings

Click on the sub-menu Appointments, classes & memberships then Class types.

Then click the button + Add new class type.

Fill in the details of your new class type. Below is a quick run down of some of the settings on this page.


Class details

Class title is the name you choose for the type of class, such as Yin Yoga or Reformer Pilates. This will also be the default class name, however you could customise that even further when creating your class schedule.

Class description provides a brief explanation to clients about what they can expect if they book into this class type. Clients will see this when they view the class details in the Pogozo mobile app.

Colour allows you to select the background colour this type of class will have when it appears in your calendar. It will also show on the Pogozo mobile app so your clients can easily identify their preferred classes.


Availability

Allow in online booking select 'yes' if you want this class to appear in the Pogozo mobile app so clients can book themselves in.

Mandatory class notes some practitioners require class notes to be written under their professional guidelines. Tracking class notes make it easy to identify when class notes haven't been finalised.

On your Pogozo dashboard there is a section for Incomplete appointment notes, which is a reminder for your practitioners to complete an appointment note for a particular class. Select 'yes' to track class notes for classes of this type to show up on the incomplete appointment note list. Select 'no' if class notes are not needed, or you don't want reminders on your dashboard.


Default billing item linked to class this links a billing item to your class making it easier to when creating an invoice.

If you have more than one billing item used for a class you can changed at the time of invoice creation. We recommend you choose the billing item most commonly used for this class type.

Payment required when booking if selected Yes, this will require the client to pay at the time the booking is made. If you have a billing item linked it will automatically populate the price form the billable item, however you can change this to a lower amount. You will not be able to charge more than the billable item linked to the class. For payments to be charged successfully at the time of booking you will also need to be integrated with Stripe.

Default appointment note template this links an appointment note template to your class making it easier when creating a class note.


Communications

You can customise how you communicate with your clients about their appointments.

Class booking notifications will be sent at the time the class is booked. You can confirm bookings via email, in-app push notifications or SMS.

Class reminder notifications will send 24 hours before an appointment. You can send class reminders via email, in-app push notifications or SMS.

Class cancellation notifications will send at the time of cancellation. You can send class cancellations via email, in-app push notifications or SMS.

Class DNA notifications will send when the client's status is changed to DNA on the class calendar. You can send DNA notifications via email, in-app push notifications or SMS.

For each notification type you can select multiple notification methods. For each method of communication you will then be required to select the communication template.

You can choose from some default templates or create your own. For more information on the templates see the how-to-guides for email, In-app push notifications and SMS templates.


Class options

Allow bookings without membership when selected will allow clients to book in for this class even if they don't have an active membership or class pass.

Allow waitlist when selected allows clients to book themselves into a waitlist for this class. Clients on the waitlist will be notified if a spot in the class becomes available.

Allow client to self check-in when selected allows clients to check themselves in when they arrive at class.

TIP for clients on a class pass, checking in will trigger an invoice for that class to be sent. We suggest for classes that may be claimable with private health insurance that you do not allow clients to self check-in.

Allow client to self cancel when selected allows clients to cancel their own class bookings. Settings for minimum cancellation period and cancellation charges are part of the global class booking settings.

Once the minimum cancellation period had passed:

  1. Clients will not be able to cancel their class and will be directed to call the business to make their cancellation or

  2. If the business chooses to charge a cancellation fee, clients will be able to cancel their class if they accept to be charged the cancellation fee. This option is only available for businesses that are integrated with Stripe.

Show participants when selected will allows clients to see who else is booked into that class on the Pogozo mobile app.


Once you have completed all the class details be sure to go to the bottom of the page and click on the button Create new class type.
