How to manage appointments

Everything you need to rebook, edit, and cancel appointments in Pogozo.

Managing appointments in Pogozo is quick and straightforward - whether you're rebooking a returning client, making a change, or processing a cancellation, here's everything you need to know.

Rebooking a client

Ready to add the next booking in for client? Rebooking allows you to quickly create the client's next booking directly from their existing appointment in the calendar.

Go to Calendar then Appointments and click on the client's current or most recent appointment to open the appointment drawer.

Click Book another appointment.

Navigate to the date you want to book into using the arrows at the top of the Calendar. Select an available time slot.

Fill in or adjust the appointment details, then click Create new appointment.

The new appointment will appear in the calendar.


Rescheduling an appointment

Sometimes a client is unable to make it to their booking and needs to move it to a different day/time. Rescheduling allows you to move the existing booking and its details to the new time slot in just a few clicks.

Go to Calendar then Appointments and click on the appointment you'd like to reschedule. The appointment drawer will open.

Click Reschedule appointment.

Navigate to the date you want to book into using the arrows at the top of the Calendar. Select an available time slot.

The appointment will be moved to the time slot you selected.


Editing an appointment

There are two ways to edit an appointment - from the calendar or from the client's profile.

From the calendar

Go to Calendar then Appointments and click on the appointment you'd like to edit to open the appointment drawer.

Click Edit appointment.

Update the relevant details, then click Save changes.

From the client's profile

Go to Clients and open the relevant client's profile. Click Appointments & Classes.

Find the appointment you'd like to edit, click the three dots to the right of it, and select Edit.

Update the relevant details, then click Save changes.


Cancelling an appointment

If your client is unable to attend their appointment you can set their booking as a cancellation.

TIP: We recommend cancelling rather than deleting an appointment in most circumstances. Cancelling keeps a record in the client's history, maybe used as a trigger in automated sequences, and is tracked in the Cancellations Report.

Go to Calendar then Appointments and click on the appointment you'd like to cancel to open the appointment drawer.

Click Cancel appointment.

Select a reason for the cancellation, then click Cancel appointment to confirm.

The appointment will be removed from the calendar and saved in the client's appointment history.
