Pogozo makes it easy to book appointments for your clients - whether it's a one-off, a recurring series, or an appointment involving multiple practitioners.
Booking an appointment
Go to Calendar and select Appointments.
Navigate to the date you'd like to book.
Use the arrow buttons on either side of the date range to move back or forward, or click the date range itself to open a calendar picker and jump to a specific date.
Click on an available time slot in the practitioner's column.
The Create Appointment pop-up will appear. The location, date, time and practitioner will be pre-filled based on where you clicked.
Add the client and select an appointment type.
Optionally you can adjust the Appointment duration, select a Treatment plan to link the booking to, or add a Note to the appointment.
Finally click Create New Appointment.
The appointment will appear on the calendar.
Booking a recurring appointment
Recurring appointments let you book a client in at a set frequency - weekly, fortnightly, monthly, or even a custom interval like every 10 days.
TIP: When booking a recurring appointment, turning off booking confirmation notifications for that appointment type is recommended - otherwise the client will receive a separate confirmation email for every session booked, which can be a lot!
Follow the steps above to open the Create Appointment pop-up, then tick the Recurring appointment checkbox.
Set the Repeat Every number and Frequency to define how often the appointment recurs. For example, to book every Monday and Wednesday, set Repeat Every to 1, Frequency to Weeks, and select Monday and Wednesday.
Under Appointment Ends, choose when the recurring series should stop:
Never — appointments continue indefinitely.
On a date — the final appointment falls on the date you select.
After a number of occurrences — for example, after 10 appointments. If you're booking two days per week, 10 occurrences means 5 of each day.
Once all the details are filled in, scroll down and click Create New Appointment.
TIP: If any of the bookings clash with the provider's existing bookings or schedule you'll be shown a pop-up window showing which dates are unavailable.
You can choose to Cancel, Book all anyway, or Book available occurrences only.
The bookings will appear in the Calendar.
Booking a multi-practitioner appointment
Multi-practitioner appointments let you assign more than one practitioner to a single appointment. Each practitioner assigned will have the appointment in their own calendar, can write their own appointment note, and can create their own invoice (or you can use a single shared invoice).
This is useful for case conferences, complex clients, appointments with an allied health assistant, multidisciplinary home visits, or student practitioners.
Step 1 - Enable multi-practitioner on the appointment type
Before you can assign multiple practitioners, the appointment type needs to have multi-practitioner enabled.
Go to Settings then Appointments, Classes & Memberships and select Appointment types. Create a new appointment type or edit an existing one.
Under Appointment details, scroll down to Multi practitioner and select Yes.
Scroll to the bottom and click Create or Update appointment type to save.
Step 2 - Book the appointment
Follow the standard booking steps above.
When you select an appointment type with multi-practitioner enabled, you'll be able to search for and add additional practitioners to the appointment.
Click Create New Appointment to save.
The appointment will appear in the Calendar for all selected practitioners.
