Give your clients the freedom to book appointments anytime - through your website or the Pogozo mobile app. This guide covers everything you need to set up and manage online appointment bookings, from making practitioners available, creating booking links and requiring pre-payment.
Making practitioners available for online bookings
Before clients can book online, you need to assign which practitioners are available for online and mobile app bookings.
Go to Settings, then Appointments, Classes & Memberships and select Website and App booking settings.
Scroll to the bottom and click the Select practitioner for online bookings dropdown. Select all the practitioners you want to be available for online or mobile app bookings.
If you have multiple practitioners, you can also set a custom display order - a great way to encourage bookings with new team members by having them appear first.
Select Yes for Set custom practitioner order for online bookings, then drag and drop your practitioners into the order you'd like.
Click Save changes when you're done.
Creating a booking link for your website
The Website Booking Builder lets you create unique booking links to share on your website, social media, or anywhere your clients can easily find them. You can also embed the link directly into your website using the generated code.
Go to Settings then Appointments, Classes & Memberships and select Website Booking Builder.
Select Appointments as the service type, then choose your filters:
Location - choose specific location/s, or leave blank to show all locations.
Appointment Category - Leave blank to display all, or choose a specific category - useful for service-specific pages on your website, for example showing only massage appointments on your massage page.
Appointment Type - choose specific appointment types, or leave blank to show all.
Practitioner - choose a specific practitioner, or leave blank to show all.
TIP: Leaving a field blank creates a booking link that automatically includes everything in that category - including any new appointment types, locations, or practitioners you add in the future. If you select specific options, you'll need to update the link manually when things change.
TIP: Appointment types will only appear in the dropdown if they're set to allow online bookings. To make an appointment type available, go to Settings then Appointments, Classes & Memberships and select Appointment types, edit the relevant type, and set Allow in online booking to Yes.
Optionally, you can add a URL that the client will be redirected to after booking - a thank you or booking information page on your website for example.
Enter the URL into the Redirect URL after booking field.
Click Generate to create your booking link.
Your unique booking link will appear under Your Booking URL.
Click Copy URL to copy it, or click Copy code to get the embed code to add directly into your website.
Requiring pre-payment at the time of booking
You can require clients to pay upfront when booking an appointment online or through the mobile app.
TIP: Pre-payments require your account to be integrated with Stripe before they can be processed.
Go to Settings then Appointments, Classes & Memberships and select Appointment types.
Find the relevant appointment type, click the three dots and select Edit.
Scroll down to the Billing and booking details section and set Payment required when booking to Yes.
If you have a billing item linked, the price will populate automatically - you can lower this amount but not increase it beyond the linked billing item price.
Click Update to save.
TIP: Clients who have pre-paid won't be able to cancel their own appointment through the mobile app. If only a partial pre-payment was taken, an invoice will be created showing both the pre-payment amount and the outstanding balance, which can be paid later.
Managing the practitioner booking notification email
When a client books an appointment online, Pogozo automatically sends a notification email to the practitioner. You can turn this off or customise it to suit your business.
Go to Settings then Communication & Marketing and select Email templates.
Find the template called Appointment Booked Practitioner. To turn the notification off, toggle the status to Inactive.
To edit the email, click the three dots to the right and select Edit, update the content, then click Update email template to save.
