How to configure your online booking settings

These settings control how clients book themselves into appointments and classes through your public booking pages or the Pogozo App.

There are two settings pages to know about:

  • Website and app booking settings - the main online booking controls for both appointments and classes (lead times, booking windows, slot display, practitioner visibility, and more)

  • Appointment settings and Class settings - these include cancellation notice rules that apply to client-facing cancellations

TIP: Individual appointment types and class types also have their own Allow online booking toggles. The global settings here apply across all types that have online booking turned on. Per-type overrides (like waivers, booking confirmation messages, and category-level display order) are managed on each appointment type or class type directly.


Appointment online booking settings

Go to Settings then Appointments, classes & memberships and select Website and app booking settings.
The Appointment Settings section appears below the Class Settings section on this page.

Lead time for bookings — Appointment

This is the minimum amount of notice a client must give before booking an appointment online. Set a unit (minute, hour, day, or week) and a number. For example, "2 hours" means clients can't book anything starting within the next 2 hours.

Select a Unit (minute, hour, day, or week) from the first dropdown, then select the Number of from the second dropdown.

How far ahead are online bookings offered — Appointment

How far into the future clients can see and book appointments. Set a unit (day, week, or month) and a number.
For example, "4 weeks" means the booking calendar only shows the next 4 weeks of availability.

Select a Unit from the first dropdown, then select the Number of from the second dropdown.

Online booking in process reservation length (Minute) — Appointment

When a client starts the booking process online, their chosen time slot is temporarily held so no one else can grab it while they're completing the form. This setting controls how many minutes that hold lasts (1–15 minutes). If they don't finish booking within that window, the slot is released back to availability.

Select the number of minutes from the dropdown.

Show appointment duration in online bookings

Choose Yes to display the length of each appointment type (e.g. "30 min") on the public booking page. Choose No to hide it.

Show prices in online bookings

Choose Yes to show the price of each appointment type on the public booking page. Choose No to hide prices.

Max appointments shown as available

Controls how many available time slots are displayed to the client at once on the booking page. Select a number from 1–10, or select All to show every available slot.

Daily limit clients can book 1:1 appointments online

Caps how many appointments a single client can book online in one day. Select a number from 1–10, or select Unlimited to apply no limit. This only applies to online bookings — appointments added by staff in Pogozo Web are not affected.

Set custom practitioner order for online bookings

Choose Yes to control the order that practitioners appear on your public booking page. When set to Yes, a drag-and-drop list appears so you can arrange the order.

Choose No to use the default order.

Time Slot Increments for Online/App Bookings

Controls the time intervals shown on the booking page for clients to choose from. You can select one or more increments: 10, 15, 20, 30, 45, or 60 minutes. You can also select Appointment Duration, which means time slots are spaced exactly by the duration of the appointment type itself (no gap between slots).

You can select multiple options — for example, selecting 15 and 30 minutes will show both interval patterns on the booking page.

Select Practitioner for Online Booking

Select which practitioners are visible on your public booking page. Only practitioners listed here will appear as options for clients to choose from. If you leave this empty, all practitioners with online booking enabled on their appointment types will be shown.

Select order of appointment category and Select order of appointment type

If you have multiple appointment categories or types, drag and drop them here to control the order they appear in on your public booking page.

Click Save changes to lock in your settings.


Appointment cancellation settings

Go to Settings then Appointments, classes & memberships and select Appointment settings.

Users able to cancel own appointments

Scroll down to the Cancellation settings section.

Choose Yes to allow clients to cancel their own appointments through the Pogozo App or the public booking page.
Choose No to prevent self-cancellation (clients would need to contact your business directly).

Minimum notice for cancellation

Sets how much notice a client must give to cancel an appointment. Enter a Number of (between 1 and 96) and select a Unit of time (hours or days). For example, "24 hours" means clients can't cancel less than 24 hours before their appointment.

Click Save changes (or Update changes if settings have already been saved).


Class online booking settings

Go to Settings then Appointments, classes & memberships and select Website and app booking settings.
The Class Settings section appears at the top of this page.

Lead time for bookings — Class

The minimum notice required before a client can book into a class online. Set a Unit (minute, hour, day, or week) and a Number of. For example, "1 hour" means clients can't book a class starting in less than an hour.

How far ahead are online bookings offered — Class

How far into the future clients can see and book classes. Set a Unit (day, week, or month) and a Number of. For example, "2 weeks" limits the class booking page to the next 2 weeks.

Online booking in process reservation length (Minute) — Class

When a client starts the class booking process, their spot is temporarily held while they complete payment or the booking form. This setting controls how long that hold lasts (1–15 minutes). If they don't finish in time, the spot is released.

Show class duration in online bookings

Choose Yes to display the length of each class (e.g. "45 min") on the public booking page. Choose No to hide it.

Click Save changes.


Class waitlist settings

Go to Settings then Appointments, classes & memberships and select Class settings.

Waitlist notification window

When a class is full, clients can join a waitlist. If a spot later opens up, Pogozo automatically notifies waitlisted clients so they can grab it. This setting controls how far into the future that notification applies.

  • Any future class (default) — waitlisted clients are notified whenever a spot opens, no matter how far ahead the class is.

  • 1 to 52 weeks — only notify waitlisted clients when the class that frees up falls within the selected number of weeks. Clients waitlisted for classes further ahead than this won't be notified that a spot has opened.

Use a shorter window if you only want to fill waitlist spots for classes coming up soon, rather than notifying clients about classes still weeks or months away.

Click Update changes to save any adjustments made.


Class cancellation settings

Go to Settings then Appointments, classes & memberships and select Class settings.

Sets how much notice a client must give to cancel a class booking. Enter a Number of and select a Unit of time (hours or days).

Click Save changes (or Update changes).
