You can customise how you communicate with your clients about their appointments and classes. There are a number of ways to easily connect with your clients to provide information about their bookings.
Automated communications
This guide covers setting up the four main types of simple one-step communications: booking confirmations, reminders, cancellation notifications, and DNA notifications. For more complex sequences please read our guide on Automated Sequences
To set or update your communication go to Settings, then click on Appointments, classes & memberships then select either Class types or Appointment types.
From your list of appointment or class types click on the three dots and select Edit.
Scroll down to the Communication section.
Here you'll see four options:
Appointment booking notifications will be sent at the time the appointment is booked.
TIP If you block book classes (for example book 10 classes at a time, or book classes indefinitely) we recommend you DO NOT have any notifications for booking confirmations, as a booking confirmation will send for every booking you have made and clients may end up with hundreds of emails at one time.
Appointment reminder notifications will send 48 hours before an appointment.
Appointment cancellation notifications will send at the time of cancellation.
Appointment DNA notifications will send when the client's status is changed to DNA on the appointment calendar.
In the first drop down you need to select your communication method. Click on the communication type to select and then click on it again to deselect.
Next select a template for each communication method.
Once you are done updating your communication choices don't forget to go to the bottom and select Update.
Contacting class participants
There maybe times you need to send a message to all of the participants in a specific class, for example to notify them of a room or coach change. The Contact Class option is perfect for these one off communications.
To contact a Class's participants head into the Calendar and click on the Class you're wanting to contact.
Select Contact Class from the class details drawer.
Then select which form of communication you want to send, either Email, SMS, or Push Notification.
You can then either select a template you've created or manually enter your message into the textbox.
Then click Send to send your message to the class participants.
