Permissions

Give your team members access to different parts of your business with permissions.

We know that each member of your team has unique access requirements, which is why we've created a way for you to customise your team member's permissions based on what they really need. We've split roles and permissions to allow greater flexibility based on the responsibilities of each of your team members. In a nutshell, roles determine your teams relationship to your clients, permissions determines the level of access they have in your business.

Your team members can be assigned permissions based on jobs they will do. As a general rule higher permissions are reserved for the more senior members of your team such as practice managers and team leaders.

Pogozo has four levels of permissions across three domains to choose from:

Plus there are a few very specific owner permissions.

Lets go through the details of each level. In a few cases these permission are also impacted by the team members role so the team member must have the appropriate role and permission. These variations are also highlighted below.


Administration

Hidden has access only a very small selection of features in Pogozo. This access is suited to team members whose role is largely scheduling appointments or classes. If you have a virtual assistant on your team this could be a great option. Hidden administration gives your team members access to:

  • Booking, editing and cancelling class and appointment bookings

  • View basic client details

  • Create new clients and edit existing ones

  • View medical alerts

  • Create and view appointment notes

  • Edit own draft appointment notes

  • Delete own draft appointment notes

  • Create, upload and view client documents

  • View shop items

Role variations:

  • Coaches and practitioners with hidden access can also edit/update medical alerts.

Basic administration permission is great for junior or casual staff, for example a junior receptionist, coaches who coach once a week or new grad physiotherapists. Basic can do everything Hidden can do as well as:

  • Create, edit and delete medical alerts

  • Create and send mass emails

  • View and edit draft mass emails

Role variations:

  • Practitioners can be assigned to co-sign student notes

  • Coaches and practitioners can create, edit and delete their own appointment note templates

  • Student Practitioner permissions are the same as Hidden.

Plus administration permission allow team members a little more responsibility with the day to day running of the business. In addition to the basic permissions, thoes with plus permission can:

  • Add new team members

  • Add, edit and disable shop items

Super administration permissions should be given to those members of your team that are in leadership or decision making roles. They can do almost everything in Pogozo including:

  • Inactive clients

  • Inactivate team members

  • Delete client documents

  • Edit all business settings

  • Add, edit and delete all appointment, class and membership settings

  • Add, edit and delete all document and template settings

  • Add, edit and delete all communication and marketing settings

  • Add, edit and delete all financial settings


Financial

Hidden permission sounds exactly like its name. All financial transactions (invoicing and payments) are not inaccessible.

Basic financial permission is ideal for anyone who needs to be able to create invoices and take payments. With basic permission your team can:

  • View, create and send invoices

  • Pay invoices

Plus financial permissions are best given to senior members of your team. Team members can do everything in basic and also:

  • Edit invoices

Super financial permissions are best kept for the for the practice manager in your business. Only team members with admin roles can have super financial permission. They can do everything in plus as well as:

  • Edit and void invoices

  • Edit and void payments
    ​


Reporting

Hidden and Basic permission are the same in reporting and allow your team members to keep track of their clients. With hidden permission your team can view the following reports:

  • Client birthdays

  • Clients without upcoming bookings

  • Cancellations

  • DNAs

Role variations:

  • Student practitioners have no access to reports.

Plus reporting permission given your users with admin roles access to a few more reports including:

  • Payment summaries

  • Uninvoiced appointments

  • Outstanding invoices

Role variations:

  • Student practitioners have no access to reports.

Super reporting permissions give users access to some of the most sensitive financial data for your business. We recommend you keep this permission level for practise manager and team leaders who are highly involved in how the business runs. They have access to:

  • Appointment, class and clinic performance reports

Role variations:

  • Admin with super reporting permissions also have full access to all revenue reports and shop change reports.

  • Student practitioners have no access to reports.


Owner permissions

When you create an account with Pogozo, as the owner you are automatically given Super permissions for administration, financial and reporting. There are also a few things that only an owner can do. They include:

  • Changing the Pogozo subscriptions

  • Updating the payment details for the Pogozo subscriptions

  • Adding integrations

  • Importing and exporting data

  • Changing ownership of the Pogozo account
