We know that each member of your team has a unique role, which is why we've created a way to customise your team member's Pogozo access based on what they really need. We've split roles and permissions to allow greater flexibility based on the responsibilities of each of your team members. In a nutshell, roles determine your teams relationship to your clients, permissions determines the level of access they have in your business.

Your team members can be assigned a role based on main job they will do. Roles determine if your team can be booked for classes and/or appointments and what, if any sensitive client data they can see.

Pogozo has three roles to choose from:

When you add a new team member to Pogozo, you will need to assign them one of these roles. You can also change their roles at anytime. You can do that in their team member profile.

Let's go through the specifics of each role below.

Admin

Admin team members have access to the administration side of Pogozo. They can not be booked for classes or appointment. They can see appointment notes written by other admin team members, however they cannot see appointment notes written by coaches or practitioners. They can also see documents uploaded by other admin team members, however they cannot see the details of documents uploaded by coaches or practitioners.

This role is ideal for team members such as reception staff, book keepers, virtual assistants and practice managers.

Coach

Coaches can be scheduled to take classes but not appointments. They can see appointment notes written by any team member who has an admin or coach role, but cannot see appointment notes written by practitioners. They can also see documents uploaded by other admin or coach team members, however they cannot see the details of documents uploaded practitioners.

This role is idea for team members such as Pilates instructors, Yoga teachers, CrossFit Coaches or your Judo Sensei!

Practitioner

Practitioners can be booked for classes and appointments. They can write appointment notes and view appointment notes written by any other team member. Practitioners can also be assigned as the co-signer of student practitioner notes. They can also upload documents and view the details of documents uploaded by any other team member.

Student Practitioner

Supporting our next generation of health professionals is a great way to give back to your profession, so we want to support those businesses that take students on placement.

Student practitioners can be booked for classes and appointments. They can see appointment notes written by all users. They can also write their own treatment notes, however they do need to be co-signed by a practitioner in order to be finalised. They can also see documents uploaded by other team members.

To indicate your practitioner is a student make sure you select the student practitioner checkbox.

Once you have assigned roles to your team members you will also be able chose their permissions. Permissions allow for more control over the access to the business side of things - for example you might give different permissions to your new grad physiotherapist and your clinical team leader, even though they're both practitioners they have different requirements when it comes to the ins and outs of the business.

Take a look at this article for more information on the different permissions.
