How to manage bookings from a client's profile

How to manage individual or multiple bookings straight from a client's profile — create invoices, cancel, uncancel, delete, and more

The booking lists in a client's profile let you take actions on individual appointments and classes - create invoices, link bookings to a treatment plan, cancel, uncancel, check for membership coverage, and more. You can also select multiple bookings at once and apply actions in bulk.


Per-row actions

Go to Clients and select the client's profile.

Click Appointments & classes. Select the Appointments or Classes tab.

Click the three dots at the end of any row to open the action menu.

The available options are:

  • Create invoice — creates a new invoice for this booking. Changes to View invoice if an invoice already exists.

  • Add to treatment plan — links this booking to one of the client's treatment plans.

  • Check for membership — checks whether the client has an active membership that covers this booking and applies it if eligible. Only available on non-cancelled bookings.

  • Cancel appointment / Class Booking - cancels the booking.

  • Uncancel appointment / Class Booking - reverses a cancellation.

  • Delete booking - moves the booking to the Deleted tab.

TIP: The menu is context-aware - a cancelled booking shows Uncancel appointment where Cancel appointment would normally appear, and options like Add to treatment plan and Check for membership are hidden on cancelled rows.


Managing multiple bookings at once

Click Manage appointments above the appointment list (or Manage classes on the Classes tab).

A checkbox appears next to each booking row, along with a Select all checkbox at the top. Tick the rows you want to act on, or use Select all to select every booking on the current page.

A row of bulk action buttons will appear above the list:

  • Cancel booking - cancels the selected bookings. You'll be asked for a cancellation reason before it runs.

  • Delete booking - moves all selected bookings to the Deleted tab.

  • Check for membership - applies membership coverage where eligible. Bookings that already have a linked invoice or no eligible membership are skipped.

  • Add to treatment plan - links all selected bookings to a treatment plan you choose.

  • Uncancel - reverses cancellations across all selected bookings. This button only appears when viewing the Cancelled tab.

Click Done to exit manage mode and return to the normal view.

TIP: Selecting bookings is scoped to the current page - if you change tabs or move to another page, your selection clears automatically.


Uncancelling a booking

Uncancel appointment/class booking restores a cancelled booking to its previous status - without sending any confirmation notifications to the client. So if a booking was cancelled by mistake, the client won't receive an unexpected re-booking email or SMS.

The cancellation is also removed from reporting - it won't appear in cancellation counts or affect the client's history, as if the cancellation never happened.

To uncancel a single booking, click the three dots on a cancelled row and select Uncancel appointment or Uncancel class booking.

A confirmation dialog will appear before anything changes.

To uncancel multiple bookings at once, go to the Cancelled tab and use Manage appointments or Manage classes to select the bookings, then click Uncancel.

IMPORTANT: If a cancellation fee was already paid for the booking, the confirmation dialog will show a reminder to refund it manually. Unpaid or pending cancellation fees are voided automatically by Pogozo.

TIP: Uncancel Class Booking is only available when the client's booking was cancelled individually - if the entire class session was cancelled, the option won't appear on that row.
