Pogozo keeps a detailed log of changes made to appointments, classes, invoices, and client communications - so you always know what happened, when it happened, and who made the change. This guide walks you through how to access and read each log.
Viewing a log of client communications
Go to Clients and open the relevant client's profile.
Click Communications.
Scroll down to view the Communications log.
Opening the appointment or class log
Go to Clients and open the relevant client's profile.
Click Appointments & Classes.
Find the booking you'd like to review, click the three dots to the right and select View appointment log or View class log.
The log will open as a pop up window. Entries are listed most recent first.
Opening the invoice log
Head into Finances.
Find the invoice you'd like to review, click the three dots to the right and select View action log. The log will open, entries are listed most recent first.
TIP: Invoice activity is also shown at the bottom of the invoice when viewed in Pogozo - this is internal only and not visible on the invoices received by clients or third parties.
What gets logged?
Pogozo tracks the following user and system actions:
Scheduling - booking created, rescheduled (start date/time), end time changes, location, practitioner, and appointment type changes.
Attendance & status - checked in, no-show/DNA, cancelled (with reason), uncancelled, deleted, and confirmed.
Money - invoice created, paid, voided, or refunded; cancellation and DNA fees charged or waived when a cancellation is reversed.
Coverage, forms & notes - membership coverage applied or removed; forms or contracts sent or completed; notes added or updated.
TIP: For clinical and class notes, the log records that a note was added or edited - it never shows the note's content.
Each entry shows three columns:
Date & time - when the change happened, shown in the booking's location timezone.
Action - what changed, with detail underneath such as from/to values, cancellation reason, or fee amount.
Actioned by - who made the change.
Understanding "Actioned by"
The action logs also track who made the changes, these are explained in the table below.
