How to manage a client's membership

How to view membership usage, and edit, extend, or cancel your client's memberships.

Once a membership has been assigned to a client, you can edit its details, block or unblock access, deactivate it, delete it, and view how the client is using it - all from the client's profile.

Go to the client's profile and click Appointments & classes in the left-hand navigation. Select Memberships from the tab panel on the left.

The client's current memberships are listed in a table showing the title, price, coverage dates, billing end date, and usage. Each row has an action menu (three dots) on the right.


Edit a client's membership

Use Edit membership to change a membership's start date, end date, or discount before the membership has started. For Stripe-linked recurring memberships that are already active, you can also schedule a pause from this screen.

Click the three dots on the membership row and select Edit membership.

The Edit membership detail modal opens. What you can change depends on the membership type:

  • Non-Stripe memberships: You can update the Membership start date and the Membership end date. The Membership name is read-only.

  • Recurring memberships: You can update the Membership start date, within the first billing cycle. And you can use pauses/holds to extend the end of the billing cycle. The fields for Sold by team member and Sold at location are shown for reference but can't be changed.

Make your changes and click Update membership.

TIP: The Edit memberships option only appears in the action menu for memberships that haven't started yet (where the coverage start date is in the future) and for active or paused Stripe-linked recurring memberships. If you don't see it in the menu, the membership type or status doesn't support editing from this screen - use Edit dates instead.


Block a client's membership

Blocking a membership temporarily prevents the client from using it to cover class and appointment bookings. Use this when you need to put a hold on a client's access without cancelling or deleting the membership.

Click the three dots on the membership row and select Block membership.

A Block Membership confirmation dialog appears. It explains what blocking will do:

  • Prevent the client from using the membership to cover classes.

  • Remove coverage for any classes in the current or future billing cycle linked to this membership, while it's blocked.

  • Not cancel the auto-renewal - the client will continue to be charged unless the membership is separately cancelled.

Click Yes, block the membership to confirm, or No to go back.

Once blocked, the membership row shows a BLOCKED chip in the coverage start and end date columns and in the usage column.

To unblock the membership, click the three dots and select Unblock membership.

Click Yes, unblock the membership in the confirmation dialog. Any classes that were covered during the blocked period and remain unpaid or uninvoiced will have their coverage restored.

TIP: The BLOCKED - PAYMENT REQUIRED chip is different from a manual block. It appears automatically when a recurring payment fails via Stripe. To resolve it, retry the payment separately - this chip can't be removed via the block/unblock menu item.


Deactivate a client's membership

Deactivating a membership cancels it immediately and permanently, but keeps the membership record in the client's history. Use this when a client needs to stop their membership straight away and you want to keep a record of it.

Click the three dots on the membership row and select Deactivate membership.

A Deactivate Membership confirmation dialog appears. It warns that this action is permanent and cannot be undone, and explains what will happen if you proceed:

  • The membership will be cancelled immediately.

  • Any unpaid invoice will be voided and payment will not be processed.

  • The client will no longer be able to use the membership to cover classes.

  • Any classes currently covered by this membership in the current billing cycle will have their coverage removed.

Click Yes, deactivate the membership to confirm, or No to go back.

TIP: Deactivating is different from deleting. Deactivating stops the membership and keeps the record in the client's membership history so you can still see what happened. Deleting removes it entirely - see the next section. Deactivating is also different from Cancel membership, which appears for recurring memberships and cancels the auto-renewal at the end of the current billing period rather than stopping the membership immediately.


Delete a client's membership

Deleting a membership removes it entirely from the client's profile, as if it never existed. Use this to correct a mistake - for example, a membership that was added to the wrong client. It is not the right action for stopping a client's access going forward (use deactivate instead).

Click the three dots on the membership row and select Delete membership.

A Delete Membership dialog appears with this warning:

"WARNING: Deleting a membership will remove the membership from the client's profile, as if it never existed. All classes covered by this membership will have the coverage removed. All class invoices created by this membership will be voided. All unpaid membership invoices will be voided. By default, paid membership invoices remain unchanged - choose the second option below to also void every paid invoice linked to this membership (no refunds are issued). Once a membership is deleted it can not be restored."

Choose one of the two delete options:

  • Yes, delete the membership - removes the membership and voids unpaid invoices. Paid invoices are left as-is.

  • Yes, delete the membership and void associated invoices - removes the membership and voids all invoices, including paid invoices. No refunds are issued.

Click No to cancel.

TIP: Deletion is permanent and cannot be undone. If you only want to stop the client from using the membership, use Deactivate membership instead - it stops the membership but keeps the history.


View a client's membership usage

The Usage column in the membership table shows how many sessions the client has used in the current billing cycle (for example, "3/8 classes"). Clicking that number opens a detailed breakdown.

Click the usage number in the Usage column of the membership row.

A Usage Details modal opens showing two sections:

  • Attended - bookings that have already taken place, listed with the booking name, date and time, and status (Checked in, Completed, No-show, Cancelled, etc.).

  • Future allocated - upcoming bookings already covered by this membership.

To see a more detailed view, click the three dots to the right of the usage count and select opens View membership usage details. This version adds a Billing cycle dropdown so you can switch between cycles to see usage per period. It also shows an inclusions summary (click the info icon next to the membership name) with the membership type, price, billing cycle length, and any coverage caps per week or per cycle.

Usage is read-only in both modals - you can't adjust session counts from here.


View a client's membership history and extend expired memberships

Below the active memberships table you'll find two sections that show the full record of membership activity for this client.

Membership holds

The Membership holds section lists any pauses that have been scheduled or applied. Each row shows the membership name, the pause start date, and the pause end date. If a pause is scheduled for the future and hasn't started yet, you'll see an Edit option in its action menu to change the dates. If a pause is currently active, you'll see Resume in the action menu to end it early.

Past memberships

The Past memberships section lists memberships that have expired or been cancelled. Each row shows the membership name, type, start and end dates, sessions used, and whether an end-of-cycle invoice was generated.

You can extend an expired membership's dates by clicking the three dots on a past membership row and selecting Edit dates.

The Edit membership dates modal opens with two date fields:

  • Membership start date - the date the membership coverage begins.

  • Membership end date - the date coverage ends. Must be after the start date.

Update the Membership end date to extend the membership into the future, then click Save changes.

TIP: The Edit membership dates dialog includes a warning: if a booking was previously covered by the membership but falls outside the new date range, any automated invoice for that booking will be voided. The membership invoice itself won't be voided. Tick Rescan coverage after saving (remove + reapply) if you want Pogozo to automatically remove and reapply coverage to all eligible bookings based on the new dates.

Membership history

The Membership history section records every action taken on the client's memberships - renewals, cancellations, pauses, edits, and more. Each row shows the membership name, start and end dates, the action taken (such as "Renewed", "Canceled", "Paused", or "Updated"), the date it was actioned, and who actioned it.

For renewed memberships in the new flow, the Usage column shows how many classes and appointments the client used in that billing cycle. Click the usage chip on a renewal row to open the Membership Usage Details modal locked to that specific billing cycle.
