What this report shows

The Classes report (in the Clinic tab) is the class equivalent of the Clinic → Appointments report: a per-coach scorecard covering how many classes each coach ran, how many attendees they had, new clients, cancellation and did-not-arrive rates, how full their classes were, their Patient Visit Average, and how often clients re-booked. Use it to compare coaches and to see how well class capacity is being used.

What's on the page

Classes table

One row per coach, with a Business Total summary row that combines every coach. Columns, in order:

  • Coach Name = the coach.

  • Number of Classes = classes the coach ran in the period.

  • Number of Attendees = total attendances across those classes.

  • New clients = how many attendees were new in the period.

  • Cancellations (%) = cancelled bookings, with the cancellation rate in brackets.

  • DNAs (%) = did-not-arrive bookings, with the DNA rate in brackets.

  • Utilisation (%) = how full the classes were (attendees against the seats available).

  • Patient Visit Average = the average number of class visits per active client.

  • Re-booking Rates (%) = the share of active clients who have a future class already booked.

How the numbers are calculated

Patient Visit Average (PVA)

Patient Visit Average = attendees ÷ unique active clients

  • Attendees = the total number of attendances (bookings that were booked or completed).

  • Unique active clients = the number of different clients behind those attendances.

Worked example: 90 attendees across 30 different clients → PVA = 90 ÷ 30 = 3.0 class visits per client.

Utilisation — how full your classes were

The Utilisation (%) column measures how full your classes were: the attendances you actually had against the total seats you offered.

Utilisation % = attendees ÷ total class capacity × 100

Total class capacity is the sum of the seat limits of every class the coach ran (cancelled classes aren't counted).

Worked example: 80 attendees across classes with 100 seats in total → 80 ÷ 100 × 100 = 80%.

A note on "utilisation". There is a second, different way to look at utilisation: how many of your classes were used at all — the share of your classes that had at least one booking, regardless of how full they were. That is a different measure from the "how full" figure above. A coach could run classes that were each only half full (a low "how full" utilisation) while every single class had at least one booking (a high "used at all" utilisation). The Utilisation (%) column on this table is the how full measure.

Cancellation rate

Cancellation % = cancelled ÷ (attendees + cancelled) × 100

The denominator is attendees plus cancelled bookings, so cancellations are measured against everything that was booked.

Worked example: 6 cancellations against 94 attendees → 6 ÷ (94 + 6) × 100 = 6%.

DNA (did-not-arrive) rate

DNA % = did-not-arrive ÷ attendees × 100

Worked example: 5 no-shows against 100 attendees → 5 ÷ 100 × 100 = 5%.

Re-booking rate

Re-booking % = active clients with a future class ÷ total active clients × 100

Worked example: 24 of 30 active clients already have a future class booked → 24 ÷ 30 × 100 = 80%.

When a coach has no active clients, the re-booking rate shows as "-".

Business Total row

The Business Total row runs the same formulas across every coach combined, so it's a true whole-of-business figure rather than an average of the individual rows.
