What this explainer covers
Most reports can be printed as a PDF or exported to a spreadsheet. This works the same way across the Reports area, so the individual report guides link here rather than repeating it. Each report guide notes anything specific to that report, for example a report that can't be exported, or one that exports in a different file type.
Print (PDF)
Printing produces a tidy, letterheaded PDF of the report that opens in a new tab ready to save or print.
The PDF is limited to 1,000 rows. If your filtered report has more rows than that, Pogozo won't produce the PDF. Instead it will show a "Report too large for PDF" message with two choices:
Export as CSV where you can download the full report as a spreadsheet instead (see below).
Narrow your filters where you can reduce the number of rows (for example a shorter date range or a single location) until the report fits within 1,000 rows.
Export (spreadsheet)
Exporting downloads the complete report that includes every row that matches your filters, not just the page you're looking at, as a spreadsheet file. This is the option to use for large reports or when you want to work with the data in Excel or Google Sheets. Most reports export as an Excel (.xlsx) file.
What the printed and exported versions look like
The print and export versions contain the same columns as each other, but they differ from what's on screen in two ways:
Interactive columns are dropped. Columns that only work by clicking, for example an "Action" link that adds a note, or a clickable client or invoice link don't appear in the PDF or spreadsheet.
The full filtered set is included. On screen a report may show one page at a time; the print and export include every matching row.
Exceptions to note
Unsubscribed from marketing exports as a CSV (.csv) file rather than the usual Excel file.
A few reports (for example Referrals) have no print or export option at all. Where that's the case, the report's own guide says so.
