Reports: Outstanding invoices

Invoices with money still owing, with Aged Debtors buckets and a Prepayment filter; Amount = remaining balance.

What this report shows

The Outstanding invoices report lists every invoice that still has money owing on it, so you can chase unpaid balances. Each row shows how much is still outstanding on that invoice, not the invoice's original total.

What's on the page

Outstanding invoices table

One row per invoice with an unpaid balance, plus a Business Total row that sums the outstanding amounts. Columns, in order:

  • Invoice ID is the invoice number (links through to the invoice in Finance).

  • Client invoiced is the client the invoice was raised for.

  • Date of Invoice is the invoice date.

  • Amount is the amount still owing on the invoice (its remaining balance), not the original total.

  • Team Member is the team member(s) on the invoice.

  • Location is the business location.

There's no chart on this report.

Filters and options

See Filters and date ranges for Location, Team member and the date controls.

Controls specific to this report:

  • Aged Debtors Instead of a manual date range, you can group by how overdue the balance is: 0-30 days, 31-60 days, 61-90 days, or Above 90 days. Choosing an Aged Debtors bucket replaces the manual date range (they can't both be used at once).

  • Prepayment filter You can narrow the list to All invoices, Pre payments, or Excluding pre-payments.

How the numbers are calculated

Amount = remaining balance

The Amount column is what's still owing on each invoice, the original total minus whatever has been paid. It is not the original invoice total.

Amount = invoice total − amount already paid

Business Total = the sum of every row's remaining balance

Worked example: a $500 invoice with $200 already paid shows Amount $300. If that were the only outstanding invoice, the Business Total would also be $300.
