Membership type settings reference guide

A membership type defines the rules, pricing, and inclusions that apply every time a client joins that membership.

A membership type defines the rules, pricing, and inclusions that apply every time a client joins that membership. This reference covers every field on the Create new membership page, in the order they appear on screen.

Go to Settings then Appointments, classes & memberships and select Membership types. Click + Add new membership to open the page.


Recurring vs non-recurring - choose this first

The Membership type field controls which fields appear throughout the rest of the form, so it's worth understanding the difference before filling anything else in.

Recurring memberships renew automatically on a billing cycle (for example, weekly or monthly). If you are connected to Stripe you can save the client's billing information and charge their card automatically. If Stripe is not connected, or the client's billing details are not saved an unpaid invoice will automatically be raised for the membership.

Non-recurring memberships are one-time purchases that expire after a set period. No Stripe connection is required.

The membership type can only be changed while the membership is in Draft status. Once a membership is set to active, the type is locked.


Membership details and billing information

This first card contains all the core setup for the membership, including who can access it, how it's priced, and when it renews or expires.

Membership title

Required. The internal name for this membership - it appears in Pogozo Web and in client-facing purchase flows. Must be between 3 and 90 characters.

Membership type

Required. Choose Recurring or Non-recurring. See the section above for details. This field is locked once the membership is active.

Membership description

Optional. You can enter a description of the membership (for example what is included) into this text field. This text is shown to clients when they browse and purchase memberships in the Pogozo App. Limit: 4,000 characters.

Location accessible

Required. Select one or more of your business locations. Clients assigned to this membership will be able to use it at the selected locations.

Billing item

Required. Select a billable item from your existing price list. The price set on the billable item becomes the membership price. If you need a new price point, create the billable item in your settings first, then return here.

Update price for those currently on membership

Choose Yes or No. When set to Yes, changing the linked billing item's price will update the price charged to clients who are already on this membership. Defaults to No.

This field is disabled (locked to No) for non-recurring memberships, because a one-time purchase is not subject to ongoing price changes.


Recurring-only fields

The following fields appear only when Membership type is set to Recurring.

Membership renews

Required for recurring. Controls when the membership period ends and the next billing cycle begins. Choose one of three options:

  • End of usage - the membership renews only once the client has used all of their included sessions. There is no fixed calendar billing date. Because there's no calendar-based cycle, the Billing cycle unit and Billing cycle duration fields are hidden when this option is selected, and the Membership should always start on a field is forced to Any day.

  • End of usage or billing cycle (whichever comes first) - the membership renews at whichever comes first: all sessions used, or the end of the billing period.

  • End of billing cycle - the membership renews at the end of each billing period regardless of how many sessions have been used.

This field is locked once the membership is active (not in Draft).

Billing cycle unit

Required for recurring (except when Membership renews is set to End of usage). Sets the unit of time for the billing period. Options: Day, Week, Month. (Year is not available.)

Billing cycle duration

Required for recurring (except when Membership renews is set to End of usage). Sets how many units make up one billing cycle. Choose a number from 1 to 30. For example, to create a fortnightly membership, set the unit to Week and the duration to 2.

This field is locked once the membership is active.


Non-recurring-only fields

The following fields appear only when Membership type is set to Non-recurring.

Membership expiry unit

Required for non-recurring. Sets the unit of time used to calculate when the membership expires after purchase. Options: Day, Week, Month.

Membership expiry duration

Required for non-recurring. Sets how many units the membership lasts after purchase. Choose a number from 1 to 30. For example, to create a membership that expires after 4 weeks , set the unit to Week and the duration to 4.


Membership should always start on a (billed on)

Appears for both recurring and non-recurring memberships. Controls which day of the week a membership can start (and, for recurring memberships, when billing occurs). Options:

  • Any day - clients can start on any day of the week.

  • Monday - the membership always starts (and renews) on a Monday, regardless of the purchase date.

When Membership renews is set to End of usage, this is forced to Any day and cannot be changed.


Common availability and purchase settings

These four fields appear for both recurring and non-recurring memberships.

Available for purchase online

Choose Yes or No. When set to Yes, clients can purchase this membership themselves through the Pogozo App. When set to No, the membership can only be assigned manually in Pogozo Web. Defaults to Yes.

Allow client to purchase for future start date

Choose Yes or No. When set to Yes, clients can buy the membership now but choose a start date in the future. Defaults to Yes.

Discounts/Concessions applicable

Choose Yes or No. When set to Yes, any discounts or concession rates you have configured can be applied to this membership at the time of purchase. Defaults to No.

Can only be purchased once

Choose Yes or No. When set to Yes, a client can only ever purchase this membership once. Useful for introductory offers. Defaults to No.


Invoices on check-in

This sub-section sits within the Membership details and billing information card. It controls whether Pogozo generates individual invoices for each appointment or class covered by the membership, and how the membership price is split across those invoices.

Create invoices for individual appointments/classes covered by memberships

Choose one of three options:

  • No - no individual invoices are generated for check-ins. This is the default.

  • Yes, at the time of check in - an invoice is created each time a client checks in to an appointment or class covered by this membership. Note: this option is only available when Total appointments/classes per billing cycle (in the Inclusions section) is set to a specific number. If the total is left blank (unlimited), this option appears greyed out with the note "set total sessions per billing cycle to enable."

  • Yes, collated at the end of the billing cycle - invoices for all check-ins during the billing period are generated in a batch at the end of the cycle.

Price allocated per appointment/class

Appears when invoice generation is set to Yes, at the time of check in or Yes, collated at the end of the billing cycle. Controls how the membership price is divided across individual invoices. Options:

  • Price allocated evenly across appointments/classes (minus the set up fee) - the membership price is divided equally across all sessions in the billing cycle. The setup fee (see below) is subtracted first.

  • Price specific to appointment/class type - you set a specific dollar amount per inclusion row in the Inclusions section.

IMPORTANT: The sum of the specified appointment/class types amounts is not capped at the membership price, so it's possible for individual invoices to total more than the membership fee. A warning is shown in the Inclusions section when this is the case.

Setup fee ($)

Appears when Price allocated per appointment/class is set to Price allocated evenly across appointments/classes (minus the set up fee). Enter a dollar amount that is deducted from the membership price before the remainder is divided evenly across sessions. For example, if the membership costs $100 and you set a setup fee of $20, the remaining $80 is split across the included sessions. The setup fee must be less than the membership price.


Inclusions

The Inclusions section defines which appointment types and class types are covered by the membership, and any caps on how many sessions a client can use.

Total appointments/classes per billing cycle (blank = unlimited)

Optional. Enter a number to set an overall cap on how many appointments and classes a client can use in a single billing cycle across all inclusions combined. Leave blank to allow unlimited usage.

Required when Membership renews is set to End of usage. Because the membership renews only when sessions are exhausted, leaving this blank would mean the membership never renews.

Pogozo displays advisory warnings beneath this field if your per-row caps or per-week caps would prevent clients from ever reaching the total you've set.

Inclusion rows

Each inclusion row targets a specific set of appointment types and class types. The form starts with one row. Click + Add inclusion to add more rows — for example, to set different caps for different types of sessions.

Each row contains the following fields:

Appointments/classes included - a multi-select grouped into Classes and Appointments. Only active types are shown. Select all the types that should be covered by this inclusion row. You can select a mix of class types and appointment types in a single row.

Max number per billing cycle - optional. Caps how many sessions from this inclusion row a client can use per billing cycle. Leave blank for unlimited. Cannot exceed the Total appointments/classes per billing cycle value if one is set.

Max session per week (blank = unlimited) - optional. Caps how many sessions from this inclusion row a client can attend in a single week. Cannot exceed the Max number per billing cycle value for this row, or the overall total if one is set.

Amount allocated per appointment/class - appears only when Price allocated per appointment/class (in the Invoices on check-in section) is set to Price specific to appointment/class type. Enter the dollar amount that will appear on the invoice for each session of this type. Required when the per-type allocation mode is active. An info icon next to the label opens a note warning that the sum of all per-type amounts is not capped at the membership price, which may affect team member revenue reports and third-party claims.

To remove an inclusion row, click the delete icon on the right of the row.

TIP: If you want all appointment types and class types to be covered without any caps, leave the inclusions section with its default single empty row and leave all fields blank. Only add rows and set caps if you need to control usage.


Contracts and waivers

Attach documents that clients must sign or complete when they purchase this membership.

Contract for membership

Optional. Select a contract template from your existing contracts. If a contract is attached, clients will be prompted to sign it when purchasing the membership.

Waiver for membership

Optional. Select a waiver template. If a waiver is attached, clients will be prompted to sign it when purchasing the membership.

Form template for membership

Optional. Select a form template. If a form is attached, clients will be prompted to complete it when purchasing the membership.

All three fields are optional. You can attach any combination of the three, or none at all.

TIP: Contract, waiver, and form templates are created and managed separately by heading into Settings, then Documents & Templates, and selecting the document type you'd like to create. You need to create them there before they'll appear in these dropdowns.


Customer to hold

This section is only shown for Recurring memberships. It controls whether clients can pause (hold) their membership and, if so, the rules around how long a hold can last.

Allow customer to hold

Choose Yes or No. When set to Yes, clients can request a pause on their membership. The additional fields below then appear. Defaults to No.

How can customers pause?

Appears when Allow customer to hold is set to Yes. Controls the method clients use to define a hold. Options:

  • Date range - clients specify a start and end date for the hold.

  • Duration - clients specify a length of time for the hold.

Minimum hold duration

Required when allow customer to hold is Yes. Sets the minimum length of a hold that a client can request. Choose a number from 1 to 24. The unit is set by the Period of time field below.

Period of time

Required when allow customer to hold is Yes. Sets the time unit for hold durations. The options are drawn from your configured time periods (typically days or weeks). This also determines the unit used for the Maximum hold duration per 12 months dropdown.

Maximum hold duration per 12 months

Required when allow customer to hold is Yes. The total amount of hold time a client can accumulate across a rolling 12-month period. Choose Unlimited or a specific number of units (1 to 24, in the unit selected under Period of time).

Allow clients to cancel membership in mobile app

Appears for recurring memberships regardless of whether holds are enabled. Choose Yes or No. When set to Yes, clients can cancel their own recurring membership from within the Pogozo App. Defaults to No.


Stock items

Attach physical products from your shop that are included when a client purchases this membership. When the membership is sold, the selected stock items are added to the purchase invoice automatically and inventory is reduced accordingly.

Click + Add Stock Item to add a row. Each row contains a single Shop item dropdown listing your active shop items. Select the item to include.

You can add multiple rows to include more than one stock item with the membership. To remove a row, click the delete icon.

If you have no shop items set up, the dropdown will be empty. Stock items (called "shop items" in Pogozo) are managed under Settings → Shop.


Saving the membership

At the top right of the page, two save options are available:

Save as draft - saves the membership without activating it. Draft memberships are not visible to clients and cannot be purchased. This option is available when creating a new membership and when editing a membership that is already in draft status.

Create new membership (or Update when editing) - saves and activates the membership immediately, making it available according to its Available for purchase online setting.

Delete - appears at the top right when editing a membership that is not yet active. Permanently removes the membership after confirmation. Active memberships cannot be deleted.

TIP: If you're not ready to make a membership live, use Save as draft to come back and finish it later. A membership in draft status can still have its type changed, which is not possible once it's active.
