How to create a non-recurring membership

Creating non-recurring memberships in Pogozo.

Written by Jadzia Frith

A non-recurring membership is a one-off pass that a client buys once. It gives access to sessions for a set period, then expires - it doesn't auto-renew or rebill. This is different from a recurring membership, which charges the client on an ongoing billing cycle. Non-recurring memberships are available to all Pogozo businesses and don't require a Stripe connection.

Use a non-recurring membership for things like intro passes, term packs, or any bundle where the client pays once and uses it up within a timeframe.

TIP: This guide is an overview of how to create this membership type, if you need further information on any of the settings available please read the Membership type settings reference guide.

Creating a simple non-recurring membership

This section covers creating a simple non-recurring membership - think of a classic 10 pack pass, with only one line of inclusions.

Go to Settings then Appointments, classes & memberships and select Membership types.

Click + Add new membership.

The Create new membership page opens.
Enter a Membership title - this is the name clients will see when purchasing.

In the Membership type dropdown, select Non-recurring.

Optionally, enter a Membership description in the textbox. This is shown to clients when they purchase through the Pogozo App.

Select the Location accessible - the business locations this membership applies to.

Under Billing information, choose the Billing item from the dropdown. This is the billable item that sets the price the client pays.

In the Membership expiry unit dropdown, choose how the expiry is measured: Day, Week, or Month.

In the Membership expiry duration dropdown, choose the number (1-30). For example, selecting Month and 3 means the membership expires 3 months after the client's start date.

In the Membership should always start on a dropdown, choose Any day if clients can activate the membership on any day of the week, or Monday to lock the start day to Monday.

In the Available for purchase online dropdown, select Yes to let clients buy this membership through the Pogozo App, or No to make it staff-only.

In the Invoices on check-in section there are 2 settings.
1. Create invoices for individual appointments/classes covered by memberships.
2. Price allocated per appointment/class.
Select the appropriate settings to fit your needs - for more information on these settings please see the Membership type settings reference guide

Scroll down to the Inclusions section.

In the Total appointments/classes per billing cycle (blank = unlimited) field, enter the total number of available sessions - for example enter 10 to cap the entire pass at 10 sessions.

In the Appointments/classes included field, use the dropdown to find and select the class type or appointment type this pass covers. The dropdown is grouped into Classes and Appointments - select one or more types.

Set Max number per billing cycle - enter the maximum number of times this membership can be used to cover these specific classes/appointments through-out the entire billing cycle.

Then set Max session per week - enter the maximum number of times the pass can be used to cover these classes/appointments each week.

TIP: For a non-recurring membership, "per billing cycle" on the inclusions means "over the life of the membership until expiry" - there's no repeating cycle, so these caps apply to the full duration of the membership.

You can add one of, or a combination of, a Contract, Waiver, or Form. These will be added to the in App booking flow. Select the appropriate document from the corresponding dropdown menu.

Click Create new membership at the bottom of the page.

The membership is now active and visible in your Membership types list.

Creating a complex non-recurring membership with multiple inclusions and usage caps

This example walks through building a multi-class bundle - for instance, a 10-week intro pass that covers two class types plus one assessment appointment, with a total session cap and per-week limits.
The steps below build directly on the basics above, so focus on the Inclusions section and the extra purchase settings.

Go to Settings then Appointments, classes & memberships and select Membership types.

Enter a Membership title, a Description and choose Non-recurring as the Membership type.

Select the Locations accessible.

Set the Billing item.

Then configure the expiry by selecting a Unit and Duration.
For example for a 10-week pass: set Membership expiry unit to Week and Membership expiry duration to 10.

Review the remaining purchase settings:

  • Available for purchase online - set to Yes if clients can buy this from the Pogozo App.

  • Allow client to purchase for future start date - set to Yes to let clients buy the pass now but activate it from a later date.

  • Discounts/Concessions applicable - set to Yes if discount or concession rates should apply to this membership.

  • Can only be purchased once - set to Yes if each client should only ever be able to purchase this membership once (perfect for an intro pack or a promotional sale).

Click +Add inclusions.

In the Total appointments/classes per billing cycle (blank = unlimited) field, enter the total number of available sessions - for example enter 10 to cap the entire pass at 10 sessions.

The first inclusion row is already on the page. In the Appointments/classes included field, search for and select your first class type (for example, a yoga class).

In Max number per billing cycle, enter the maximum number of times this membership can be used to cover these specific classes/appointments through-out the entire billing cycle.
For example enter 8 to allow a maximum of 8 sessions of this type across the whole duration of the pass.

In Max session per week, enter the maximum number of times the pass can be used to cover these classes/appointments each week. For example, enter 2 to limit the client to 2 of these sessions per week.

Click + Add inclusion to add a second row.

In the new row, select a second class/appointment types in Appointments/classes included.

Repeat the steps of setting a Max number per billing cycle and Max session per week for this set of inclusions

Continue to add lines of inclusions by clicking the + Add inclusion and setting a Max number per billing cycle and Max session per week for each set of inclusions

TIP: Pogozo will show a warning if your per-row Max number per billing cycle figures add up to less than the total you've set at the top. For example, if the total is 10 but your row caps only add to 9, you'll see an alert. This just means the total cap may never be fully used - it's not an error, but worth checking.

Scroll down to Contracts and waivers if you want to attach a document that clients must sign when purchasing this membership via the App.

You can add one of or a combination of a Contract, Waiver, or Form. Select the appropriate document from the corresponding dropdown menu.

Click Create new membership.

The membership appears in your Membership types list and is ready to assign to clients or make available for purchase.

TIP: If you're not ready to publish the membership yet, click Save as draft instead. Draft memberships won't be available for purchase and won't appear to clients until you activate them.
