How to add clients to your appointment waitlist in Pogozo

The appointment waitlist in Pogozo makes it easier to manage client bookings when your schedule is full.

By adding clients to the waitlist, you can quickly fill any cancelled or rescheduled appointments without losing valuable time.

On the Pogozo website, there are two ways to add clients into the appointment waitlist, and both can be done directly from your calendar.

The first option is to add clients from the waitlist tab in the calendar. The second option is to add them from the create appointments screen in the calendar. In this guide, we’ll walk you through both methods.

Steps to add a client directly to the waitlist:

From your Pogozo Calendar page click on the Waitlist tab.

On this page, you can view all clients currently on the appointment waitlist. You’ll see their name, next appointment date (if they have one), requested practitioner/s, appointment type, date they joined the waitlist, and any notes for that appointment.

To add a client to the waitlist, select the "add client to waitlist" button.


Search and select the client you wish to add to the waitlist. Fill in the required details, including the appointment type, preferred practitioner(s), and preferred days and times of the week. You can also add any additional notes if needed.

Then click add client to waitlist at the bottom to save.


Steps to add a client from the calendar when creating an appointments

From your Pogozo Calendar page click on the Appointments tab.

Click on the calendar to make an appointment like normal.

While creating the appointment you have an option to also Add client to waitlist.

Click that link and choose the preferred day and time. You can also add waitlist notes if needed.

When all details are complete, click on Create new appointment at the bottom of the window.

Once saved, the client will be booked in for the appointment and be added to the waitlist for an early appointment.


Tip 💡 The waitlist has now been moved to the calendar view for easier access and as a quick reminder when checking your schedule. This allows you to see your waitlisted clients alongside your daily bookings, helping you manage your schedule more efficiently.

We’ve added new functions to make this feature even more helpful.

You’ll now see a notification icon showing how many clients are on the waitlist, so you can easily keep track without leaving the calendar view.


A new column displaying each client’s mobile number lets you contact them quickly when a slot opens up.


Plus, each client’s name is now clickable, simply select it to go directly to their profile for more details.
