How to manage the class waitlist

How to enable the class waitlist, add clients, setup automated notifications and add them to a class when a space becomes available.

When a class is full, clients can join the waitlist instead of missing out. Your coaches are notified when someone joins, and when a spot opens up, waitlisted clients are automatically notified that a place is available - they're not booked in automatically, so either you or the client completes the booking.


Turning on the class waitlist

The waitlist is enabled per class type. Go to Settings, then Appointments, Classes & Memberships, and select Class types and create or edit a class type.

Scroll down to Class options and set Allow waitlist to Yes. Scroll to the bottom and click Update to save.

TIP: If the waitlist is turned off, a full class simply shows as full and clients won't be offered the option to join a waitlist.

You can also control how far ahead clients are notified when a spot opens up. Go to Settings, select Appointments, Classes & Memberships, and then Class calendar settings and set the Waitlist notification window - choose anywhere from 1 to 52 weeks, or Any future time. Waitlisted clients won't be notified about openings beyond this window.


How clients can add themselves to the waitlist

When a client tries to book a class that's already at capacity - online or through the Pogozo App - and the class type has the waitlist enabled, they'll be offered the option to join the waitlist. Their place in the queue is recorded by the time they joined.

A client already on that class's waitlist can't be added again.


Adding a client to the waitlist for a single class

Go to Calendar and click on the class tile to open the class details drawer.

Click Add to waitlist.

A pop-up will appear where you can search for the client's name. Select the client(s) you want to add, then click Add to waitlist.

The client will now appear in the waitlist section for that class. When a spot opens up, click Add to class next to their name to move them into the participants list.


Adding a client to the waitlist for a recurring class

Go to Calendar and click on the class tile to open the class details drawer.

Click Add to waitlist.

A pop-up will appear where you can search for the client's name. Select the client you want to add.

Tick Add client to a recurring waitlist.

Enter the number of occurrences you'd like to add them to the waitlist for, then select the days.

Click Add client to waitlist.

The client will now appear in the waitlist section for all of the selected classes. When a spot opens up in any of those classes, click Add to class next to their name to move them into the participants list.


Removing a client from the waitlist

Go to Calendar and click on the class tile to open the class details drawer. Scroll down to the Waitlist section, and click Remove from waitlist next to the client's name.

For a recurring class, you'll be asked whether to apply this to This class only or This and all future classes.


How waitlist notifications work

When a client joins the waitlist, your coaches receive a notification.

When a spot opens up, waitlisted clients are notified by email, SMS, and/or push notification — based on your class communication settings and each client's own preferences. Notifications are only sent if:

  • The class starts more than 15 minutes from now

  • The class falls within your waitlist notification window

The first client to rebook gets the spot, or you can click Add to class manually to move them in.
