Sending invoices to third parties

Send invoices to third parties or alternate billers such as WordCover, insurance companies or employers.

Sometimes you need to send an invoice to third party or alternate biller. You can that straight from Pogozo.

There are three main steps:

  1. Add third party or alternate biller contacts to your client's profile

  2. Select third party or alternate biller when sending the invoice

  3. Create email templates for quick and easy sending (Optional)


Adding contacts as a third party or alternate biller to your client's profile

To bill a third party or alternate biller you need to first add them as a contact to the client's profile and mark the contact as an alternate biller. To add a contact go to the client's profile.

On the client details page scroll down to contacts and select Add contact.

Enter in the contact details. To add the contact as an alternate biller to be named on the invoice sent to the third party check the Alternate biller check box.

Fill in the alternate biller information for the invoice. The alter biller's name or business name will automatically populate at the top of the Bill To: section of the invoice but any additional details can be added here. For example contact person, ABN etc.

The details will then be populated in the Bill To: section of the invoice when the alternate biller is selected.


Selecting an alternate biller when sending or printing invoices

Switching between alternate billers or private invoices is quick and easy.

In the client's profile go to Finances.

Scroll down to the Invoice details - Alternate Billers section and select the alternate biller by checking the check box.

When an alternate biller is checked, the Alternate billers invoice details will be entered into the Bill to section of the invoice.

Any invoice sent while the alternate biller is checked will contain their details. You can then deselect the alternate biller and the Bill to will revert back to the client's details.


Creating an email template to send to third parties

The benefit of creating email templates is that you can save time by not having to type out the same thing each time you send a document or invoice out. Creating a simple email template that pre-populates the client's name and the name of the contact person makes this process even simpler.

Sending an invoice to a third party

You can send an invoice to a third party or a clients contacts from a number of different places in Pogozo. Anywhere you have the option to Email to others will allow you to send to someone else other than the client.

From the client profile

Go to the Client's profile and then Finances.

Scroll down to the invoice section and click on the three dots, select the option to Send to others.

From here you can manually add the contact email address or, if you have set the contact up as a contact use the drop down menu to Select contact and/or family.

If you have created an email template you can select the template from the drop down or you can write your email from scratch.

The scroll to the bottom and select Send.


You can also send the invoice to a third party from finances or when creating an invoice.
