If you've made the decision to DIY your data transfer, then transferring your existing data into the Pogozo Data Transfer Templates is the fastest and easiest way to get your existing data into Pogozo.
The Pogozo team are here to help
We understand this level of "tech stuff" can be overwhelming. If you've started the DIY method but since decided you'd like one of our team to assist you in the data transfer process simply email us at hello@pogozo.com with the subject Data Transfer, letting us know you've started the process and someone from our team will get back to you.
We have put together a few tips to make this easier.
How to transfer your data
The fastest way to transfer your old data into the Pogozo Data Transfer Templates is to copy and paste it across. We recommend you copy one column at a time, however if your old data export tables are in the same order as Pogozo's you can copy multiple columns across at once.
The most important part of this process is making sure the data you are copying is being pasted into the correct corresponding column. For example, the clients first name needs to be pasted into the first name column, the clients last name needs to be pasted into the last name column, the clients email address needs to be pasted into the email address column etc.
TIP: You can only upload 500 rows at a time so when copying your data across we recommend copying less than 500 rows at a time. Smaller sections can also make it easier to make changes to your data if needed to ensure it is in the correct format for uploading.
Downloading the data transfer templates
Each set of data has a specific data transfer table. You can download these tables directly from inside your Pogozo account.
Go to Settings then click on Data, and select Upload Data.
Next, select the type of data you want to upload. Once selected you will see a link for the Download template cvs. Click the link, the template should now download into your computers download folder.
Click the links below for more detail on each of the Pogozo data transfer templates, including which columns are mandatory, where to find the corresponding data in your old systems exported files and common errors that occur and how to prevent them.
Uploading the Pogozo Data Transfer Tables
You are almost there!
Now that you have all of your data in the Pogozo transfer templates, you can upload each file one by one.
We highly recommend you upload your CSV files following the order below, as some need to be completed for others to proceed. For example, to upload your appointment calendar, you'll need to have a team member with the role of practitioner so you can assign that appointment to the correct practitioners diary.

Clients
Client Cases
Billable items

Appointment notes

To upload your templates into Pogozo head to Settings, Data and Upload Data.
From the dropdown menu, select the type of data you want to import. Click and search or drag your file into Pogozo. Then click Import Data button.
If your data has uploaded successfully you will see a success message as shown below. You should also see that Total Rows is equal to Imported Rows and Error Rows equals 0.
Trouble shooting your imports
Troubleshooting when things don't go to plan is made easier with our error log. If you get an error with your data import click on Click Here To See Error Logs. Here you will be able to see which row Pogozo is having trouble importing, and what exactly the problem is.
For example the picture below shows that there was an error importing the data. We can click on the error log to see the specifics.
Here we can see that the problem was in Row 1, and the issue was a missing email address. Missing data is the most common problem encountered when uploading data. Some other issues could include incorrect formatting or duplicated data. For more details and tips to resolving these issues refer to the specific template guide above.
You will need to go back to your data transfer table and correct the errors. Once you have done this, try and upload the updated table and see if the errors have resolved.
